Exporting Schedules to iCalendar

If you need to be able to send key data to your project managers, field staff, subcontractors, and team members so they can see the plan no matter where they are. One of the best options for sharing your project data is to export the project to a .ics file.

In FastTrack Schedule 2024, you can very easily export all or select parts of your project so they can be opened directly by calendar apps. You have the ability to export an entire file, or you can create Filters to export only specific data. For example, you can create a filter to show only tasks for a specific resource, so that when the file is exported, they will only see their assigned tasks.

.ics files can be imported into applications such as Apple Calendar, Outlook, Yahoo Calendar, or Google Calendar. When files are imported to these apps, you can see when tasks start and finish from any computer and even from mobile devices.

The first step is to switch to a Layout called the “iCalendar Layout,” which will display columns for all the data that can be exported. In that Layout, you see key project information, including Activity Name, Notes corresponding to tasks, Location, Attendee information, and task Duration/Date/Time information.

This is the information that you can export and share with your project managers, field staff, subcontractors, and team members.

The next step is to export the data. To do this, go to File > Export > iCalendar.

After you have exported your data from FastTrack Schedule 2024, it can be imported into a calendar application. Check your calendar apps for the specific steps to import iCalendar (.ics) files.

Typically, these are the steps:

1. Go to Open > Open Calendar

2. Browse to the location to which the .ics file has been saved.

3. Select Open to import the file into your calendar.

Project tasks can be viewed anywhere team members have access to their calendar app.  In their calendar app, users can also set reminders for tasks.
